Registration and Hotel Information:
The On-line Registration link to register to the HUPO 2011 Congress and reserve your hotel accommodation in Geneva is now open. Please click here for access.

Procedure
The registration form should be used for Congress Registration, Hotel Reservations, as well as reservations for Social Program and Excursions. All participants must register using the official registration form either online at www.hupo2011.com. All participants must submit a completed registration form. The HUPO 2011 Congress requires the full data for each individual participant, including updated postal address and email address. Incomplete registration forms cannot be processed.

* For student registrations, an email from your mentor or the head of department is required including name of the student, name of the department head/mentor, affiliation, and registration number, must be submitted during the registration process.

Early registrations will be accepted until16 May, 2011. The reduced fee will only apply when early registration is accompanied by payment.

HUPO Membership
If you are not yet a member of the HUPO, you can become a member by choosing the following option under the “Event Questionnaire” when registering online:

  • I am not a HUPO member but I wish to apply at no cost for 2011

You will pay the “Non-member” fee which will include your HUPO membership participation for 2011. If your membership status is “expired” you may choose to renew it by selecting:

  • My HUPO membership is expired and I wish to renew it now

You will pay the “Non-member” fee which will re-activate HUPO membership participation for 2011. As an “active” member you will also be allowed to renew your membership for another year by choosing:

  • My HUPO membership is active; renew for another year

Payment
Full payment should be received before the relevant deadline. To facilitate processing, participants should clearly indicate their name, file number and the purpose for which the payment is made on all remittances.

Either of the following means can be used for payment:

Please indicate “free of charge for the receiver account.”A copy of the bank transfer should be sent together with the registration form.

Group Registrations
For group registrations, a minimum of 10 participants is required. Please contact the Registration and Accommodation Department at MCI Suisse SA to obtain the group registration form. Congress documents and bags can be collected as “Early Pick-up“ upon request.

For small groups (min of 3 participants, maximum of 10 participants) you can use the online registration system directly.

Confirmation
A confirmation of registration and payment status will be sent to the individual or company that requests registration. Confirmation will be sent only when the corresponding payment is received. Participants should bring the letter of confirmation to the registration desk at the Congress venue when collecting their documents.

The Registration Desk at Palexpo will be open as follows:

Hotel Accommodation
MCI Suisse SA has reserved a large number of rooms in different hotel categories and offers discounted room rates for the Congress participants. Only reservations made through MCI Suisse SA will benefit from these rates. All these hotels are located in the City Centre, or near the Convention Centre.

Delegates preferring low cost accommodation are kindly requested to download this document for further information.

Since Geneva attracts many tourists, please reserve your room not later than May 6, 2011. Hotel accommodation is subject to availability. Requests received after this date cannot be guaranteed. Reservations are made on a first come, first served basis. Availability of rooms in each category is limited. Names of persons sharing rooms must be indicated. Rates are in Swiss Francs (CHF) and are per room, per night, breakfast and city tax included.

Reservation and Payments
Only guaranteed reservations will be accepted. To guarantee your reservation a deposit covering one night is required to be paid to MCI Suisse SA either by bank transfer or by credit card (deposits will be deducted from the final hotel bill when paid by the participant at the hotel). Please indicate the participant's name and “HUPO 2011” on ALL payments. 

Inquiries
Any inquiries or requests for additional information, changes or cancellations of room reservations should be addressed directly to MCI by email or in writing.

Group Reservations
Group reservations will be handled by MCI Suisse SA with separate contracts. Please contact MCI for further information.

Cancellation and modification conditions:
Registration:
All cancellations must be sent to MCI Suisse S.A. in writing (fax, letter, or e-mail). For cancellations received before July 6th, 2011, fees will be refunded less CHF. 100.- for administrative costs. After this date, no refund will be possible.
A handling fee of CHF. 60.- per registration will be charged for every registration modification received after July 6th, 2011.

Social Events and Excursions:
Cancellations can be made free of charge until August 3rd, 2011. After this date, no refund is possible.
MCI reserves the right to cancel or modify the excursion program if the minimum participation is not reached or due to factors beyond the control of the organizers.

Hotels:
To guarantee the reservation a deposit covering the first night of your stay is required. From July 6th, 2011 only payments made by credit card will be accepted.
All cancellations must be sent to MCI Suisse S.A. in writing (fax, letter, or e-mail). For cancellations received before July 6th, 2011 deposits will be refunded less CHF. 100.- for administrative costs. After this date, no refund will be possible.
In case of late cancellation (after July 6th, 2011), rooms cancelled, cancelled nights or no-show, we reserve the right to charge the full stay if the hotel room cannot be re-sold.

A handling fee of CHF. 60.- per hotel room will be charged for every hotel modification received after July 6th, 2011.

Check-in/Check-out Time
Hotel check-in time is 14:00 or later. If you are arriving after 18:00, please notify MCI Suisse SA in advance. Check-out time is noon.

Methods of Payment
Payment by personal checks cannot be accepted.
All payments are in Swiss Francs (CHF). For hotel bookings, a deposit payment for the first night must accompany the hotel accom
modation form. Additional expenses such as mini-bar, laundry, etc. must be paid directly to the hotel when checking out.
